PRIVACY AND ACTIVITY / PRACTICAL GUIDE

View note activity with user-controlled tracking

Understand which notes you use without giving up control over optional processing. Folio separates the records needed for account safety and saving from activity recording that you explicitly choose to enable.

PUT IT TO WORK

Step by step

  1. Sign in and open Activity in the sidebar to view available chronological app and security actions.
  2. Open a note and choose Note activity in the editor footer to see that note's saved actions and optional usage events.
  3. Choose Usage to review the recent most-opened and most-edited note summaries and recorded app actions.
  4. If you want open/utility events recorded, open Processing, enable optional note activity and save. The default is off; input utilities have a separate preference.
  5. Turn optional recording off when you no longer need it. Clear optional history only after reviewing the app's confirmation.

Saved actions versus optional usage

Necessary authentication, loading, saves, revisions and essential security/save audits remain available for the system to work. Optional usage recording adds allowlisted note/utility events only when your saved consent allows it.

The Usage view covers the last 30 days. Most-opened counts depend on optional recording. Most-edited counts come from actual saved update actions rather than time spent looking at the editor. Counts are not a stopwatch, a productivity score or a measurement of unique readers.

What optional events contain

Optional events store note identifiers, action names and timestamps. They do not store note bodies, selected text, clipboard contents, every keystroke or your temporary pattern rules. The server checks account ownership and allowed event types.

Repeated opens close together are deduplicated, but the automatically opened first note after login can count as an open when recording is enabled. Use these summaries as navigation and usage information, not as evidence of how much thinking or effort a person invested.

Disable, clear and keep private work private

Disabling optional recording stops new optional events; the server rechecks your preference, including when other sessions are open. Previously recorded events can remain until they are cleared or age out. Clear optional history does not delete your notes, saved versions or essential audit records.

Usage rankings and note timelines are scoped to your own account. Public search does not reveal them. Administrators retain account-security audit capabilities, but those are different from another user's optional rankings or note content. Public visibility of a note requires a separate publication confirmation.

Keep in mind

Optional history retention is applied lazily when activity is recorded or viewed, with storage bounds. It is not a continuously running scheduled deletion guarantee.

Common questions

Must I enable tracking to use the editor or utilities?

No. Editing works without optional tracking, and built-in utilities can be enabled while optional activity stays off.

Will clearing optional history remove my revisions?

No. Optional usage events, saved document revisions and essential audit records are separate.

Find a useful starting point.

Search the shared notes and directory collection, then open your own workspace when you are ready to work. Reading a shared document does not create a private file.
